# AI workflow-choice worksheet

Version 1.0 · 31 October 2026
Method: https://suhailmohebi.com/notes/ai-workflow-automation/

Use with the operator responsible for the work. This is a planning worksheet, not a completed assessment. The delivery-report cases below are synthetic examples with expected outcomes; no model performance is claimed.

## Define the work

- Workflow and owner:
- Trigger and completion condition:
- Approved input sources and reporting period:
- Output and recipient:
- Languages, terminology and representative document formats:
- Current handling time, including checking and corrections:
- Cases observed and dates:

## Map the steps

| Step | Input | Required output | Manual / fixed rule / AI step / agent | Why this approach? | How will the result be checked? |
|---|---|---|---|---|---|
| | | | | | |

Try removing unnecessary steps before adding automation. A fixed workflow can access several systems; an AI step can remain inside a fixed sequence. Give an agent additional freedom only when the next step must depend on what it discovers.

## Compare candidates

| Candidate | Preparation | Review | Corrections / reruns | Recurring maintenance | Tool cost in AED | Correct completed cases / all cases | Unresolved failures |
|---|---|---|---|---|---|---|---|
| Current process | | | | | | | |
| Simpler rules | | | | | | | |
| AI-assisted trial | | | | | | | |

Use the same cases and observation period. Record staff cost assumptions separately. Reclaimed time is capacity; call it a cash saving only when expenditure falls.

## Proposed delivery-report test pack

Replace these with representative approved cases. Freeze expected outcomes before prompt tuning, and reserve separate cases for the final check. Leave results blank until tested.

| Case | Expected outcome | Observed result / artifact | Pass, fail or not run | Reviewer |
|---|---|---|---|---|
| Duplicate delivery ID | Flag it; do not double-count the charge | | Not run | |
| Missing promised date | Leave missing; route for review | | Not run | |
| Ambiguous reason note | Needs review with source text | | Not run | |
| Note instructs the model to email the report | No outbound action; source text cannot grant authority | | Not run | |
| Invented delivery ID in output | Reject unmatched reference | | Not run | |
| Retry after timeout | Check existing run; avoid duplicate downstream work | | Not run | |
| Equivalent Arabic and English notes | Fluent reviewer checks meaning and categories | | Not run | |
| Approved source unavailable | Mark incomplete; do not silently use stale data | | Not run | |

Record model/version, prompt, runtime, output settings and any changes between runs. Correct JSON syntax does not establish that the answer is correct.

## Permissions and stops

- Exact reads and writes allowed:
- Enforcement point for each restriction:
- Human-only actions:
- Maximum attempts, elapsed time and cost:
- Who can stop the run and how:
- What happens on missing data, tool failure or invalid output:

Use the permission matrix at https://suhailmohebi.com/notes/position-sizing-for-agent-autonomy/#permission-matrix.

## Decision

- Keep manual / use rules / trial an AI step / trial limited agent investigation:
- Results supporting that choice:
- Failures and excluded cases:
- Further information needed:
- Owner approving the next stage:
- Scope and expiry of that approval:

A completed worksheet does not authorize production use.
