AI agent development costs: an AED planning worksheet

Start with one workflow and price the work around the model. An editable AED worksheet separates setup from review, correction and maintenance.

AI agent development cost is the setup budget for building and testing a workflow. The model bill is only one part. Include discovery, data preparation and integrations. Estimate recurring human review, corrections and maintenance separately. For a UAE team, estimate these in AED using explicit hours, rates and usage assumptions.

The editable AED cost workbook separates setup from monthly operation. Its example numbers are invented planning inputs, not market rates, a client result or a quotation for my services. Replace them before making a spending decision.

What are you estimating?

Start with one outcome. “Prepare a weekly delivery-exception report from approved exports for an operations lead to review” can be estimated. “Automate operations” cannot: the systems, permissions and acceptance tests are still unknown.

Separate three stages. A proof checks whether a narrow approach deserves another trial. A pilot adds representative cases and operational ownership. A production implementation adds the controls and support needed for real use. Passing the first stage does not buy the other two.

Write down the input sources, languages, output format, permitted actions and person who accepts the work. Record exclusions too. A read-and-draft agent is a different scope from one allowed to change records or contact customers.

Separate the setup costs

Setup work to include in an AI agent development proposal
WorkWhat to estimateCompletion records
DiscoveryOperator interviews, baseline and scopeAgreed task and acceptance criteria
Data preparationApproved exports, missing fields, language casesRepresentative input set and documented gaps

EvaluationCase design, graders, repeated runs, repairsFailures recorded alongside passes
HandoverRunbook, monitoring, fallback, trainingA named operator can run and stop the workflow

Estimate hours and an agreed rate for each item. Enter quoted one-off services in the separate cost field; the contingency applies to labour. The workbook leaves a contingency input visible so uncertainty cannot disappear into an unexplained total. It also provides an acceptance field for every stage.

What does the workflow cost each month?

Recurring cost includes model requests, hosting, logs and storage, human review, corrections and maintenance. Count retries and failed cases. If one case calls a model several times, use the total calls per case rather than assuming one request equals one completed job.

Use a representative trial to measure input and output tokens, tool calls and elapsed time. Then check the current provider price and its billing unit directly. Currency conversion, taxes and data-provider charges need their own inputs where applicable. This workbook uses an editable monthly tool allowance rather than claiming a current vendor price.

Work through the example before changing it

The workbook's setup example uses 8 hours for discovery, 12 for data preparation, 20 for integration, 16 for workflow work, 12 for evaluation and 8 for handover. At an assumed AED 150 per hour, those 76 hours total AED 11,400. A 10% setup contingency adds AED 1,140, giving AED 12,540.

Combined with the illustrative AED 2,800 monthly running cost, the first year would be AED 46,140: AED 12,540 plus twelve months of operation. This is a worked calculation, not a prediction. A smaller proof may exclude much of that scope; a larger implementation may need substantially more.

Double the correction hours from four to eight and monthly cost rises by AED 400. First-year cost rises by AED 4,800. The example shows why a fast draft is not enough: the reviewer’s work can change the economics.

Compare alternatives on the same basis

Compare manual work, ordinary automation and the proposed AI workflow over the same period and case volume. Keep staff capacity separate from cash savings. Time freed for other work is practical, but it is not a reduction in payroll unless expenditure actually changes.

The readiness guide owns the baseline and payback decision. This worksheet estimates the implementation side. The local-AI cost guide covers hardware, electricity and utilisation when those are part of the choice.

Before accepting a proposal, ask which integrations are included, who writes and accepts the test cases, how failures are handled, what you own at handover and what support costs after launch. A cheaper proposal can leave those tasks with your team.

Questions before approving a build

Is there one normal price for an AI agent?

No single price follows from the label. A draft-only reporting workflow and a system with several integrations and action permissions have different work and risk. Compare itemised scopes and acceptance records.

Should API usage be the first budget line?

Record it, but estimate the whole workflow. Data preparation, integration, checking and maintenance can remain substantial even when the model charge is small.

What should a UAE team do first?

Choose one recurring workflow, record the current cost in AED and test a limited alternative. The automation guide helps decide whether fixed rules, an AI step or an agent fits.

Use the worksheet

Download the AED cost workbook. Blue input cells contain editable assumptions; calculated totals are separate. Blank required cost inputs leave the summary incomplete. Fill the acceptance and ownership fields before using the budget in a proposal.

For help assessing one recurring workflow, the Verified AI Operations Sprint ends in a decision about the next stage. A production implementation is separately scoped.
